Divide PST file – to fix outlook error ‘the filename has reached its maximum size’
Outlook 2002 PST files have a 2 GB file size limitation, so when a file is copied to PST file that may exceed the limit outlook prompts messages not to store data further. After Microsoft confirmed the problem, hot fixes were released to solve the existing issue, no wonder problem still remains. Therefore, on trying to save file to .pst which results in file size increase above 2 GB displays error message as-
“can’t copy the items, The file %PST filename% has reached its maximum size. To reduce the amount of data in the file, select some items that you no longer need, and then permanently (shift+ Del) delete them.
Here again, 1.82 GB or approx 2 GB Outlook 2003 leads to error in copying items.
For these reasons, it is better to store data in multiple files instead of one single file which is turn reduces the chances of problems and data loss due to larger PST file. However, once the problem occurs, you necessarily need to divide pst file to fix outlook error.
As stated in the error message ‘PST has reached its maximum limit’, means that no more data items can be saved in that Personal storage table. This usually takes place with Microsoft office XP SP1 and if outlook 2002 service pack is installed data storage after 1.82 GB size is not possible. This is opted as a measure to avoid PST file from being corrupted.
Although this very issue takes place in outlook 2002, yet problems do occur in later editions outlook 2003 and 2007, for these reasons PST splitter is used for dividing PST into smaller portions that can be used separately.
Ways to resolve the issues taking place with large size PST includes-
- Deleting emails & other items
- Emptying the ‘deleted items folder’ and compacting in order to free unused space
- Importing data to a newly created outlook PST file
- Dividing large PST file etc
PST splitter being an efficient read only tool divides files on the basis specified i.e. email ID or date without making any changes in the field data value.
